    In this month’s behind-the-scenes-look at Ultimate Ventures, we explain how a program is transitioned seamlessly from the Sales Department to the Operations Department. As you might expect, effective communication is the key!

    Here’s an overview of what clients can expect once a program is contracted:

    Turnover Meeting: The first thing we do after a contract is signed by our client is schedule a Turnover Meeting with the Account Manager (Sales), the Program Manager (Creative) and Operations Manager to talk through the program details. During this meeting, the Account Manager and Program Manager carefully review the program file with the Operations Manager, detail by detail. They follow a comprehensive turnover checklist to ensure that nothing is missed – from vendor contracts and client communications to dietary/special needs and contract details, they review and discuss it all.

    Introductions: Following the turnover meeting, the Account Manager introduces the client to their Operations Manager; however, on occasion, this may happen earlier in the process. The Operations Manager gets to know the program inside and out and becomes the client’s go-to resource straight through the operation of the program. The Account Manager is always available for assistance if needed.

    Updates: The internal communication between departments doesn’t stop at the turnover meeting. Our entire team meets weekly to discuss the status of each program, and our departments work closely together to solve any potential issues/concerns that the program might face during its lifecycle. In addition, the Operations Manager is continually updating their plan and communicating these updates with the client and vendor partners.

    We know that communication is essential in the overall success of the program which is why we take great pride in the fact that our client evaluation score is 4.9 out of 5 in program operation satisfaction. Because we always strive to exceed client expectations, they feel supported through the process and have trust that we are taking the utmost care of their program and needs.
