“Hail Mary” Annual Meeting

This “Hail Mary” Annual Meeting needed to WOW at every turn and yet not appear to have been planned “last minute” (even though it was planned in less than 90 days!)

The first night’s Oktoberfest Y’all themed welcome event at Gilley’s Dallas was full of festive German-style décor. From blue and white pennant flags and string lights hanging from the ceiling to a custom German-themed menu, every aspect of the event highlighted this whimsical theme. Guests were greeted by a strolling accordionist in traditional lederhosen and custom arrow signage pointed them in the direction of all the possible activities. We used a combination of rounds and communal tables to replicate a traditional German beer hall. Each table had either beer growler or beer bottle centerpieces that contained Blue Cornflower, the national flower of Germany.

In one room, we had two beer experts leading tastings on both German and local Texas beers at a large wooden craft bar with lit marquee letters spelling “PROST” (“Cheers!” in German) mounted on top. Another room was used as a game room with custom cornhole, shuffleboard, and horseshoes. This room featured a “lounge-y beer garden” vibe using company branded hedge walls and tasteful rattan garden furniture.

On days two and three we provided tour and activity options for VIPs and guests of attendees. Tours included a trip to Waco for the “Chip and Joanna Gaines treatment”, a local BBQ and Beer tasting tour of the city, and visits to popular history and science museums. Shuttles to two of Dallas’s hottest shopping destinations were also provided on both days.

On the second night, we provided décor, entertainment, and dessert for an after dinner event on the Omni Lawn. We provided glowing furniture, décor, games, and additional lighting that brightened up the lawn with a beautiful glow. Guests played games, mingled, and enjoyed the sounds of Rockestra while they snacked on frozen treats from our liquid nitrogen ice cream bar and popsicle cart.

Upon arrival at the final night’s event at AT&T Stadium, guests were given the VIP treatment: Guests entered the stadium amid smoke, lights, the Dallas Cowboys drumline, and getting to see themselves projected on the jumbotron. Punt, pass, kick, and throw contests allowed guests to test their football skills. During dinner the client surprised attendees with an appearance and motivational speech by famous Cowboys great, Emmitt Smith. It was truly a show stopping “WOW” final night to an action-packed program!
