What do you do when your group size increases by 25% (from 2,150 to 2,800) less than one month out, forcing you to add four overflow hotels and change your airport arrivals to blind arrivals with no manifest?

As we watched this program grow and its parameters change, we stayed one step ahead securing additional part-time staff (from 30 to nearly 70 people) and vehicles. Due to the sold-out motorcoach status of the city at the time, we worked with 14 different companies from as far a way as Oklahoma City and San Antonio to provide a total of 61 vehicles. Many of these drivers were unfamiliar with the area which added another level of complexity. To top it off, twelve-hour continuous shuttle service was added between the host hotel and the four overflow hotels to ensure guests were not inconvenienced getting to/from the conference.
